Youth Leadership Team Agenda
Nov. 12, 2011
Those in Attendance: Gail Weed (parent volunteer), Pastor Erik (PE), Megan Pitsch, Matt Sobolik, Joey Rebbe, Sean Rose, Amy Carr, Genna Hoffman, Lauren Korzan
(We had 18 youth at coffeehouse, Josh Graziani came at 7:00 to help as adult volunteer)
De-brief latest events….
Relay for Life….how was the timing? Did it feel meaningful? Attendance =10
Ultimate Frisbee…how was the timing? Location? Attendance= 8 students
Discussion: Wasn’t a big group, but those who came had fun. Talked about maybe rotating to different parks.
Sunday school…how has attendance been? Good discussions? Are people stepping up?
Discussion: attendance has been 5-10, seem to like new format
Hike in Nov. …where do we want to go?
Discussion: decide to change meeting time to 12:00pm and have people bring lunch, (we ended up not going because it was pouring rain)
Need to re-schedule Food Share…what might be a good date? Sat. Feb. 18?
Discussion: The group thought we should re-schedule, were not sure what would be the best time.
Action: PE will need to call Food Share and try to find new date
Care packages….Do we want to do care packages for college students this year? In Feb.?
Discussion: Everyone liked idea of incorporating this into one of our coffeehouse nights as a kind of service project. Liked the idea of doing it at Feb. 11 coffeehouse and doing a valentine’s day theme
Action: PE or volunteer will need to get the materials to make the care packages, maybe we could ask people do bring different items like cookies, candy, pens, top ramen, granola bars, etc. [over]
National Gathering…have 16 youth signed up…have 5 adult volunteers…need to close out registration soon…talk it up with people you know are interested
Discussion: We have extended the deadline. PE will try to contact few other people.
Fundraising for National Gathering…Flamingo flocking insurance….Lefse night in Dec….envelope idea…rummage sale…car wash…we need a plan of when we’re going to schedule these? Could we divide up these duties among the leadership team?
Discussion: Explored different ideas. Spent a lot of time on Flamingo idea. Everyone liked the concept, but the more we talked about the time and effort it would take and the initial expense of purchasing flamingoes the more it seemed like maybe we shouldn’t do it this time. Decided against it and to put our focus on the envelope idea, make, Bake, celebrate, car wash, and maybe rummage sale. Also decided to try and do lefse making fundraiser before Christmas.
Action: Lauren and Genna volunteered to help promote this. They will work with PE to decide on dates.
Disneyland: PE asked that parents take the lead on this event on actual day since it was little tough being gone until 3:00am and then getting up for church the next morning. Youth asked if Josh could help chaperone.
Budget: PE asked for input on the Budget. Leadership helped to make sure we were covering the things we needed to ask for. The team thought it would be good to include $300 for scholarships for those families who might need extra help.
Adjourned at 7:00pm
We’re going to break up into small groups tonight…leadership team needs to help make sure youth are getting into the activity
Youth Leadership Team agenda Oct. 2011
Those in attendance: Joey Rebbe, Ethan Tendler, Sean Rose, Tommy Rebbe, Amy Carr, Kevin Fickenscher, Tracie Fickenscher, Pastor Erik
-have group help finish summer trip poster board
-update on Facebook page…it is up and running, Genna and PE are administrators, have people been using it? (noticed that Brett had posted a choir song)
Discussion= talked about how people are using it, students are glad it is up and running, we need to add more people and keep an eye on the content
Action= if you know someone who isn’t on it please contact Pastor Erik or Genna so they can be invited. Let Pastor Erik or Genna know if you see questionable content on our page.
-up-coming events…Relay for Life, ultimate Frisbeee
Action= discussed format of our time with Relay for Life. A request for wagons went out to help cart the luminarias around the track to the right spots.
There was discussion around the time and location for Ultimate Frisbee. Decided to keep the time for now but changed the park to the soccer fields at Village at the Park instead of Valle Lindo Park.
-good to see Sunday school attendance up
Action= Keep talking up Sunday youth group. Text people, get ideas for topics etc.
-registration for National Gathering opens tomorrow…should I put in names to hold spaces or wait until money comes in?
Action= We need to start getting deposits in so we can register people. The group thought we would probably have at least 15 people who would want to go. Pastor Erik is to look into whether or not we can need to or even can register spots up to 15 just to hold them so we can make sure and get in. This would be even whether or not we had their deposits in yet.
-fundraising ideas for National Gathering….envelopes 1-150, stock idea, flamingo insurance…others?
Action= Talked at length about different fundraisers. The make, bake, celebrate is a good one, but need more. Here are some ideas:
-Students liked the idea of envelopes one to 150 again. Inside envelope is invite to a special dessert or dinner.
-carwash
-parking lot sale
-“Talent” show
-“Flocking”, where people pay youth group to put flamingoes on other people’s lawns, people can also by flocking insurance to prevent it from happening. This idea sounded like a lot of fun to students. Just need to set a date. The thought was after Christmas would be better.
-how can leadership help promote attendance and welcoming atmosphere? What would it feel like if you came to coffeehouse or Sunday school for the first time ? How can we make people feel welcome?
-ran out of time and did not get to this last subject
High School
Leadership team Dec. 18, 2010
Those attending: Amy Carr, Matt Sobolik, Ashley Weed, Michael Fickenscher, Kevin Fickenscher
Those absent: Brett Crocket, Abby Hobbs, Kris Korzan, Katie Johnson, Jack Johnson
-get leadership team to help set-up simple decorations for party (tree, lights, wreath, etc.)
Opened with prayer
-go over minutes from last meeting…approved
-Disneyland trip…share info with team about cost…we decide if we are going to do it and what day..originally we had thought the Friday, but that leaves out youth who are not in Oxnard Union…maybe we should do Saturday date…have to get commitments since we need at least ten to get the group rate
-Decided to go through with the trip, will need to promote as soon as we
can, …group rates for pass is $57 for one park $67 for two…decided to do Sat. Jan.
29 so more students could come rather than just those from Oxnard Union…team
decided that they would want to leave early to get there at opening and utilize
as much of the day as possible
Pending action: just need to confirm whether we want two
park pass or just one
-Change of event calendar…I have an ultimate Frisbee date on Mother’s day…should we change that?
-decided that Mother’s day afternoon was not a good day for this so either need to cancel or re-schedule
It was suggested we do a Skyhigh event…what might be a good date for that? A Friday or Saturday night?
-everyone liked the idea of doing youth event at new Skyhigh trampoline place in Camarillo, the issue is finding a good night, finally settled on trying to find a Sunday of a three day weekend to schedule it
-winter camp…will
be last week of Feb. need to start getting RSVPs in new year, please talk it up
with other youth
-people are excited about going, will try to work on getting freshmen
to go
-Summer Trip… need to finalize dates and itinerary..do we really want to go as far as Portland? We could just go as far as Northern California and raft a couple different rivers or make trip shorter…is second week of August ok for gradutating seniors? What is a good deadline for people to respond
-it was agreed that the second week of August would be the best date
even for graduating seniors…everyone wanted to keep Portland as a destination,
felt this would have more appeal, and there was recognition that some youth
liked the idea of a slightly longer trip than one week
Western States Youth Gathering at CLU…commuter cost is $275…do we want to promote this in addition to our other trip?
-after a lot of discussion decided not to promote local youth gathering since the commuter price was not that much cheaper and felt it would be confusing to promote two trips, want to push the Portland trip and see if we can’t get a lot of the group to come
-Service project…last meeting we talked about maybe doing a focus project this year…we mentioned that the malaria project might be a good idea…what could we do to raise funds and awareness for this project? Could we tie it to summer trip fundraising…like tithing a percentage of funds raised?
-did not have too much time to talk about this, but people liked the
idea of promoting malaria project…it was brought up that maybe we could do
something to raise funds while on the trip itself..either on the street
corners or maybe like doing a
presentation at the churches where we stay…could incorporate the youth band and
do some drama to raise awareness of malaria then pass the hat
Adjourned at 7:00pm for Christmas party
High School
Leadership team 11/6/10
-T-shirts: We have
extra from a past order….do you want to try and sell them or can we just give
them away?
Decided to give them
away to those who might want them
-idea of High School “Never-Ending Night”…what do you think of the idea? What if we made it a late night then had a morning activity like service event or morning worship at cross?
Leadership team Liked
the idea but thought it would be better to have sleeping time or end at 3:00am,
liked the idea of maybe sleeping in big room then having a morning worship
before leaving, Golf ‘ Stuff was suggested as a stop
-Summer trip….Portland idea seemed to have consensus…one
other idea could be Catalina Island (possible volunteer adventure trip)…is this
something we should look into or should we just stick with the Portland
idea…also, there is place just 2hrs. from Portland like the Special K Ranch…would
you want to try and add that to the agenda?
The team voted down
idea of Catalina. Trip to Portland or
northwest is still most popular idea
-what about breakfast club/ Discipleship group idea? Meeting before school…would any of you support that or is it just too early?
Students just seem
too busy to do this and getting up early would be hard
-Christmas coffeehouse…should we just do games and gift exchange or is there something else you would like to add?
No additions this
year…like the idea of the gift exchange again
-what might be some goals for us as a youth group? Meet once a month? Increase attendance? Get people to bring their Bibles? Read a devotional book together? Get more youth to Sunday School? Get more youth involved in worship? Do a special service project? Do an outreach event? Combine with another youth group for an event? -could we do a “Nothing but Nets” fundraiser for Malaria Campaign? (not just basketball but soccer, etc.)
Like the idea of a
special service project… thought the idea of doing something around the malaria
campaign had some merit
It was also suggested
we do an event night at the new Sky High
High School Youth
Leadership Team minutes Oct 23, 2010
Those in attendance: Amy Carr, Megan
Pitsch, Kris Korzan, Lauren Korzan, Matthew Sobolik
-open with prayer
-Budget for 2010: explain that
High School youth used to be under learning committee, but now it’s separate,
so the leadership needs to help make decisions about High School issues…including
budget…(explain a little about budget process and how it needs to be submitted
by new year…go over what we spent last year)
-what do we want to request for our budget this year
and why?
-Refreshments?...$300
was suggested
-scholarships?
-Bible study material
and video resources? (show the video resources and how much they are)…suggested
we just order “Make a Difference” video curriculum…around $150
-other
ideas?...Gas for church van= $150 was suggested
Total of $600 to request
-summer trip…how
do you think the discussion went last time we met? Thought it was good to
include everyone, but some of the trip ideas were not realistic,
Pastor Erik took suggestions from last meeting and
came up with some ideas for summer trip:
-possible idea: Going up California Coast to the Redwoods,
doing some outdoor adventures, maybe service project (like park clean-up or
trail maintenance), then traveling to Portland, Oregon, staying in inner city
doing service projects for couple days, travel to Lake Shasta, explore caverns
one day, come home
-possible
timeline: Sunday Aug. 7th-
Tuesday Aug. 16th..day 1= drive to Santa Cruz, day 2= drive to
Willow Creek, day 3= whitewater
rafting day 4= jet boat tour and Trees
of Mystery, day 5= drive to Portland, day 6 & 7= service projects and
touring Portland, day 8=drive to Lake Shasta, day 9= explore Lake Shasta
caverns, day 10= drive home
(could do this same
trip but Monday June 20-Wed. June 29
-another possible
idea…LRCC Beach camp or design our own “beach camp” in San Diego…stay at
church, hang at beach, surfing lessons, Sea World, Balboa park, service project
-people liked the Northern California and Oregon trip
idea the best…Kris suggested we call the trip “The Oregon Trail”
-tonight’s
project…care packages for college students
-close with
prayer

Update on Past
Events:
Easter Breakfast…thanks to everyone who helped out, we received $1,100 in donations and an anonymous donation of $500 after expenses and splitting with junior high the High School youth group should receive around $600
Make, Bake, Celebrate…thanks to everyone who served and who put things in the auction, we received $1,500 in tips and possibly another $1,000 from the committee so we could get up to $2,500…discussed having two shifts of helpers next year that overlap during the busy time of serving
See’s Candy…about $275 was raised by Johnson family (have possibly 3 youth going on summer trip)
Up-coming Events:
Ultimate Frisbee…tomorrow at Trinity Presbyterian, dinner will be served
May 8 Coffeehouse…
Kayaking May 15…do people think they can make the kayak morning? Henrys will be organizing for us…
After discussion we decided to replace the kayaking day with a day of service helping Ross with his eagle project of making a meditation path on the church grounds…Pastor Erik will contact the Henrys
Welcome Freshman breakfast, May 22…any ideas for how we organize this? Went to IHOP last year..was that ok so should we try Denny’s or Carrow’s?...no preference for location, but thought that that students should help pay depending on how much is in the youth budget…after we eat we could come back to the church to help on Ross’ service project as an initiation for the in-coming freshmen
June 5 youth band concert…the youth band would like to make this their concert date, unless there are concerns it would replace the coffeehouse scheduled for that night, it would also be a fundraiser for the summer trip and we would ask youth to baked goodies and staff a table at intermission
Summer Trip…looking for a date to do a pre-retreat, should it be overnight or just an evening event?
-should we do two days in Yellowstone?...yes!
-a couple transportation options…Roadrunner, Enterprise, parent drivers
-need commitment s from people…I extended deadline to May 2
New Business: - special event (eg. Dinner or day trip) for leadership team?...the team liked the idea but it has to be after May 15 so that AP tests are over
-update on Ross garden project…should we organize some help for this?...will advertise it as a youth event because it is a project for the church campus
-Kelsey Rhodes wants to do a lock-in…any ideas on date? Would any of you be interested in helping out? It would be for Junior high…should we combine with High School too?...decided not to combine it, but maybe High School could be helpers…talked about doing it in August as way to welcome new 6th graders and kick off confirmation year…even thought about maybe doing it in Santa Barbara at Trinity Lutheran church
-Godspell production at Mount Cross…this is going to be happening this summer several of our High School youth are involved

-spent time putting together poster boards only to discover that the glue we had didn’t work
-did thank you notes to those adults who had help us with Relay for Life and the Synod gathering
-evaluated Relay for Life and Synod gathering at CLU
-talked about fundraising events for national gathering:
· decided not to do Christmas candy because the return did not seem that high,
· decided to do a “hire-a-student” idea until Christmas, here’s the plan:
In order to help raise money so that our High School youth can attend next summer’s national gathering we are offering our students’ time and talent in exchange for a donation to the youth group.
Between Nov. 16 and Dec. 14 there will be a sign-up on the patio for people who would like to request some work to be done. Some possible jobs for our youth to do would be babysitting so parents could go Christmas shopping or have a night out, putting up Christmas lights, or various kinds of yard work.
Once you put down your job and contact information someone from our youth group will be in touch to arrange a time for the work to be done. Friday after school and the weekends will be mostly likely when our youth are available. Suggested donation is $10.00 per hour per student and our students will be going out in groups of two or more
· In the new year we will look to introduce the idea of “investing” in the youth group and look to do the envelope idea with two tickets inside each envelope inviting the donor to a dessert dinner once the group has returned from the gathering
-talked about having binders for the youth leadership team with info needed by the group
-closed by praying through a list of names of all the high school youth
